Who operates this service
TRG JAPAN LLC, Florida, United States, is responsible for the personal information handled by TRG Japan. Contact support@trgjapan.com for privacy questions, requests, or complaints. Our acknowledgement target is 24–48 hours; completing a request may take longer depending on identity checks and applicable legal deadlines. Contact support for seller and representative contact information applicable to your location.
Information we collect
We receive account names, email addresses, credentials handled by our authentication provider, timezones, learner birth dates and age bands, Japanese levels, guardian relationships, permissions, booking and guest details, and support messages. We also process payment and refund references, subscription periods, credit history, meeting details, linked Discord identities, attendance intervals, and security/audit events. Teacher information includes public profiles, qualifications, schedules, vetting records, and connected calendar credentials. Stripe handles payment-card details; the platform stores billing references rather than complete card numbers.
Where information comes from and why we use it
Information comes from you or your guardian, invited participants, teachers, and the providers needed to deliver the service. We use it to create and secure accounts, assess eligibility, arrange and safeguard lessons, manage subscriptions and credits, process payments/refunds, send service messages, respond to requests, and meet legal obligations. Where applicable privacy law requires a legal basis, the basis depends on the activity: providing the requested service, legal obligations, proportionate security and safeguarding interests, or a separate permission for optional use. We do not treat acknowledgement of this notice as blanket consent to optional recording or marketing.
Who can see information
A guardian can manage the learner profiles they are authorized to manage. The assigned teacher and authorized staff receive the information necessary for their work; participants may see the names and presence of others in their lesson. Teacher profiles and their selected age eligibility are public. Billing, birth dates, safeguarding reports, consent evidence, and integration credentials are restricted according to role. Classroom administrators may have access needed for safeguarding or technical recovery. A provider’s own account, server-owner, or administrator permissions may also affect access.
Providers, cookies, and integrations
The service uses Supabase for authentication, database/storage services; Stripe for payments and subscriptions; Hostinger for hosting and email; Cloudflare Turnstile for abuse prevention; and Discord, Google Meet/Calendar, and staff-assisted Zoom where applicable for classrooms. Essential session, security, integration-state, and short-lived booking-continuation cookies support login and booking. These providers process relevant information under their own terms as well as our service arrangements. Teacher calendar linking requests calendar event access and offline authorization to arrange lesson meetings. Discord linking identifies the attending person. Contact support for information about provider regions, international processing safeguards, and backup or deletion arrangements.
Learners aged 13–17
The minimum learner age is 13. Learners under 18 use an adult guardian’s account; guardians manage billing, bookings, and required permissions. Ages 13–15 use Google Meet. Ages 16–17 may use Discord only with guardian permission. We do not knowingly offer lessons to learners under 13; contact support if an under-13 profile or collection is discovered so access can be stopped and the information addressed. Minor learners are never included in marketing. Necessary safeguarding information receives restricted access and an individual preservation review.
Optional recording and adult marketing
Lessons are not recorded by default. Recording may be used for learner playback and teacher training or quality review. Recording requires a separate choice, explanation of the intended purposes and arrangements, and agreement from every participant, the teacher, and any required guardian before the specific recording. You can decline and still attend. If a recording is proposed, its storage, access, and deletion arrangements must be explained beforehand. Adult marketing use needs a distinct opt-in and approval of the specific material and publication. Recording consent does not authorize promotional use, and minors are excluded even if a guardian agrees. Personal social media sharing uses a separate standing opt-in from the teacher and every adult learner shown or heard. It covers lesson material on participating adults’ and the teacher’s personal profiles, including a public audience; separate approval for each post within that scope is not required. Recording or TRG marketing permission does not authorize a personal post. Minors must never appear in public lesson posts. Change recording or TRG marketing permission independently on the Learners page; manage standing personal social sharing permission separately through the portal or contact support. New uses outside the agreed scope require fresh permission. Staff must stop recording on withdrawal and stop new promotional use; public copies held by others may remain.
Your choices and requests
Edit ordinary profile details in your portal. Integration disconnection is support-assisted: contact support@trgjapan.com, and you may also revoke access in the provider’s settings. Account Settings includes account closure; provider cleanup and records that must be preserved may need further support handling. You may request access, correction, deletion, restriction, objection, or a portable copy where applicable law provides that right. We verify identity and guardian authority proportionately, explain refusals or exceptions, and follow applicable response deadlines. You may complain to the relevant privacy regulator. Optional permission can be withdrawn without losing ordinary lesson access.
Approved account and service retention schedule
The approved retention schedule keeps profiles while needed for the service and targets removal or minimization of unnecessary profile information within 30 days after verified closure. Accounts inactive for 24 months are reviewed with notice before closure. Necessary evidence of non-expiring purchased or legacy credits is preserved while that entitlement remains. Monthly subscription credits roll over only while the subscription remains active and expire at its final paid-period end; their expiry does not require erasing the minimum financial history. Routine adult support and detailed lesson/attendance information is scheduled for deletion or anonymization within 12 months, and equivalent minor information within 90 days, unless a specific lawful preservation need applies. Routine security logs have an approved 90-day limit. Automated cleanup is still being implemented and validated; contact support to request deletion or minimization in the meantime.
Approved financial retention, backups, and exceptions
The approved financial schedule keeps invoices, payment/refund references, tax-supporting records, and minimum associated booking/credit history for seven years after the relevant tax return is filed or due, whichever is later. This is a business retention decision rather than a universal legal minimum, and it does not justify retaining complete minor profiles. A legal obligation, active dispute, or documented safeguarding/security investigation may justify separately preserved information with restricted access and periodic review. Provider removal and backup expiry have not yet been verified. We will finalize those periods and the recording schedule after validation; automated deletion and provider backup erasure have not yet been operationally verified.
International processing and updates
Our customers may be in different countries and the service’s providers may process information outside a customer’s country. Applicable safeguards, representative requirements, and privacy rights depend on your location and the service arrangements; contact support for information specific to your request. We identify revisions by date and version and notify users of material changes as required. New optional purposes require fresh permission where applicable; existing permission is not automatically expanded.
